Top tips for hosting a magical Winter wedding

October 4th 2024

As summer draws to a close, those of you planning a winter wedding may already be deep in the details! At Event Staff Scotland, we’ve had the pleasure of working on countless weddings throughout the year, and winter celebrations hold a special place in our hearts. If you’re tying the knot in the colder months, we’ve gathered our top tips to help make your winter wedding as magical as you’ve always imagined.

Choosing the Venue

Selecting the right venue plays a huge part in setting the tone of your wedding! Try look for spaces with indoor options that offer a warm, inviting vibe. It’s important to try and view venues around the same season you plan to get married as understandably, they will look so different throughout the seasons! For winter weddings it’s also worth considering indoor spaces for your photos, in case of any issues with the weather. Don’t forget to ensure the venue is well-heated and ready to handle any wintery surprises, like icy paths or snow-covered car parks.

Keep Your Guests Cosy

It’s so important your guests feel relaxed and comfortable, especially in the colder months. Consider providing warm blankets or wraps for the ceremony if this area me be cooler. Or cosider organising a hot chocolate or mulled wine station for guests to enjoy upon arrival! If your ceremony will be outdoors or in a cooler venue, we recommend renting heaters or encouraging guests to bring layers to keep everyone comfortable!

Plan for the Weather

Winter weather can be a bit unpredictable, especially in Scotland! So having a back up plan is a must. If snow is in the forecast, make sure you have adequate arrangements for guest travel and consider providing options to stay overnight for those coming from afar. It’s also a good idea to give your guests a heads-up on what to wear and how to get to the venue in case of any weather-related issues such as road closures.

Make the Most of the Daylight

With shorter days, timing is everything. Plan your ceremony and reception to make the most of natural light, especially if you’re dreaming of outdoor photos! Alternatively, you can embrace the early sunset and go for a twilight ceremony, lit by candles or fairy lights for some extra romance.

Seasonal Menu Selections

A winter wedding menu is the perfect opportunity to serve hearty, comforting dishes. Think about including seasonal favourites like roasted meats, root vegetables, and warm soups in your menu. For dessert, consider options like dark chocolate puddings, winter fruit pavlovas or even opt for a dessert table with winter treats like gingerbread or spiced cake! Remember it’s your special day, so choose something true to both of your tastes as a couple.

Capturing the Day

Winter lighting can be stunning, but it does come with its own set of challenges. Make sure you discuss these with your photographer and plan your timeline to include those all important daylight shots. Twinkling lights, lanterns, or candles can add a magical touch to your evening photos, and if it snows well, that’s just the icing on the cake for some beautiful pictures! Ensure you align with your photographer and/or videographer on your vision ahead of the big day.

Add a Festive Touch

If your wedding date is close to the Christmas period, why not add in a bit of festive cheer? It could be anything from including seasonal flowers like poinsettias or amaryllis, choosing personalised ornaments as wedding favours, or even adding a Christmas tree decorated with your favourite memories from your relationship or fun polaroids and notes from guests can add some more fun to the celebrations!

Stay Organised

Winter weddings do require a bit more planning, so staying organised is key. We recommend creating a detailed timeline and checklist, and keeping in close contact with your vendors to ensure everyone is prepared for any seasonal hiccups. We recommend always having a plan B for any elements that may be influenced by the weather, in case it chooses to not cooperate on the day.

Final Thoughts

A winter wedding can be truly magical with the right planning and preparation! Remember, the key is to stay flexible and enjoy the unique charm of a winter wedding. Happy planning!
