One of the most common things we see when working with clients is that staffing is almost always underestimated. And we completely understand why! When you’re busy coordinating a venue, catering, entertainment and everything in between, working out how many hands you need on deck can feel like one of those details that’s easy to overlook.
But getting your staffing numbers right is one of the most impactful decisions you’ll make for your event!
Too few staff and your guests will notice. Drinks will go unrefilled, people are left waiting at the bar, and the small details that make an event feel special start to slip. It doesn’t take much for a brilliant event to feel disorganised and slow service is the first thing guests mention when they talk about it afterwards.
The good news? It doesn’t have to be that way!

The General Rule of Thumb
The golden rule is to plan for 3-4 members of staff per 100 guests. It’s a tried and tested benchmark that sets you up for smooth, consistent service throughout your event.
That said, our golden rule is to always add at least one extra staff member on top of that figure. It might seem small, but that one additional person can be the difference between an event that runs like clockwork and one that starts to feel the pressure. Events are unpredictable by nature (more on this later!) and having that buffer in place means you’re always one step ahead!
What Happens When You Understaff?
It’s tempting to keep staffing numbers lean. We get it, costs add up. But understaffing is one of the most common reasons events fall short of expectations. Long queues at the bar, slow food service, guests left waiting with an empty glass – these are the kind of details that stick in people’s minds long after the event is over and can leave you struggling to relax as the host.
When staff are stretched too thin, the quality of service drops. Your team will be rushing, unable to give guests the attention they deserve, and any natural but unexpected hiccup – a spillage, a last-minute change to plans, a surge of arrivals – can quickly spiral. It puts unnecessary pressure on your staff too, and a stressed team is rarely at their best.

The Benefits of Getting It Right
Here’s the thing, when you get your staffing numbers right (or even go slightly over), everybody wins. Your guests have a better time, your staff enjoy the shift, and you get to actually enjoy your own event. From our experience, here’s why it’s always worth it:
- Better guest interaction. When staff aren’t rushed off their feet, they can take the time to actually engage with guests. Checking in, topping up drinks and going that little bit further to make people feel really looked after.
- A happier, more attentive team. Happy staff make for a better event, simple as that. When your team isn’t overwhelmed, they’re more focused, more switched on and genuinely more enjoyable to be around.
- The ability to handle the unexpected. Whether it’s busy periods, last minute changes, or just a rush you didn’t see coming, having that extra person available means you can roll with whatever the day brings, without it affecting the guest experience.
It’s Not One Size Fits All
It’s also worth remembering that different types of events have different staffing needs. A drinks reception, for example, may require more bar and floor staff to keep things moving, whilst a seated dinner will place greater demands on your waiting team. A large exhibition or corporate event might need more hosts and hostesses to manage guest flow and registration.
Thinking about the specific format of your event, not just the headcount, is key to getting your staffing right!

Don’t Forget About Peak Times
Even the best planned events have pressure points. Guest arrivals, meal service, breaks and end-of-night departure are all moments where demand spikes. It’s worth thinking about these in advance and ensuring you have enough staff available during those windows specifically. We have a minimum requirement of five hours per booking, which ensures peak times are fully covered even on shorter shifts.
The Value of Floaters
One of our top recommendations is to always include at least one or two “floaters” in your team. These are staff who aren’t tied to a fixed role or station and can step in wherever they’re needed! From covering gaps to supporting colleagues during busy spells, these flexible team members are the ones who quietly keep the whole operation running smoothly behind the scenes. Think of them as your secret weapon!
